Mailing Services: Large Mailings
All mailings to be metered must include documentation that the list has been cleaned through NCOA within the past 95 days. Lists housed in Banner are in compliance.
Automatic sealing of envelopes (gum at top only) is provided by the Mail Center for 100 or more pieces, and all smaller mailings must be sealed by departments. Letter-size pieces that need to be sealed should have flaps individually folded down and nested together. Larger pieces of mail and over-stuffed envelopes should already be sealed prior to being metered.
All flats containing binder clips, magnets, spiral binding or large thick pieces of mail must also be sealed by department, as these items cannot run through our mailing machine. In addition, postage for these items must be affixed manually; therefore for large quantity mailings of this type we must receive a sample of the piece to be mailed at least one week in advance to ensure we have sufficient postage to process mailing.
When preparing your mail, you must pay attention to label placement – there are new rules and guidelines that must be followed. Red ink cannot be used on envelopes as USPS scanners cannot read red ink. Please flatten envelopes that have excess air in them prior to sending them to the Mail Center so that they may be processed by the postage machine.
