Position Summary:

The Guest Services Coordinator role supports the Events Team and Summer Operations staff, striving to ensure all aspects of guest visits remain a high-quality experience. In addition to weekly office hours, the Guest Services Coordinators will be available in an 24/7 “on-call” capacity, serving as a direct resource for guests. Responsible for identifying the appropriate point of contact to resolve a variety of needs, the Guest Services Coordinators duties may include helping to address maintenance concerns, to promptly delivering extra linens to guests. They will supervise the Guest Services Assistants. Please note, the Guest Services Coordinator role is designated for University of Portland students who are currently enrolled for Fall classes.


Dates of Availability & Schedule:

The Guest Services Coordinator is required to be available from May 17th, 2022 - August 10, 2022. Mandatory trainings to transpire May 17th & May 18th. Given that we will have guests on campus throughout the summer, this includes availability on Memorial Day (Monday, 5/30/22) and July 4th (Monday, 7/4/22).  

  • The standard weekly schedule may vary depending upon guest conference schedules. Most weeks this hourly position will work between 15-20 hours. 
  • The Guest Services Coordinator is required to ensure their shift is covered in advance for any dates they will be out of the office. Extended vacation requests cannot be accommodated. 


  • Pay for this role begins at $14.00 per hour; increasing to $14.75 per hour per Portland Metro minimum wage increase effective 7/1/2022

The Guest Services Coordinator is the primary liaison between the Events Team and summer conference guests. Directly responsible for the following duties: 

  • Assisting with guest check-ins/outs 
  • Preparing arrival packets; including keys, room assignments, and room inspections
  • Providing consistent and accurate reporting of all room status, key collection, and pertinent staffing updates
  • Directly supervise 4-6 Guest Services Assistants, ensuring all day/evening coverage is achieved
  • Shared responsibility for work-issued phone, allowing guests to contact 24/7 
  • Facilitate weekly staff meetings and development exercises
  • Other duties as assigned 



  • Current UP Student in good academic standing, able to provide verification of Fall 2022 enrollment 
  • Must be available to work each of the aforementioned dates 
  • Must be able to respond to guest calls on work-issued phone outside of standard business hours. Responsibility for this will be shared between team members 
  • Must be able to stoop, bend, lift up to 30 lbs., climb and descend stairs unassisted
  • Must have strong computer skills including, but not limited to, Outlook, Word, Excel, PowerPoint.
  • Must be able to establish and maintain professional and collaborative working relationships with both internal and external contacts
  • Must maintain a professional presence at all times, including behavior and attire
  • Must possess a valid driver’s license and successfully complete the UP HR driver’s safety training
