Position Summary:

The Summer Office Assistant role will be responsible for supporting The Events team in all aspects of summer conferences and events. This includes all guest-facing communications (over the phone, in person, and electronic communications), securing reservations, reporting, as well as aiding in room checks for the arrival / departure of our summer conference guests.  

 

Dates of Availability:

The Summer Office Assistant is required to be available from May 7, 2022 - August 10, 2022. This position typically requires 10-15 hours per week in May and 5-10 hours per week for the remainder of the summer.

 

Compensation:  

  • Pay for this role begins at $14.00 per hour; increasing to $14.75 per hour per Portland Metro minimum wage increase effective 7/1/2022 
  • On-campus housing in shared living space
  • Meal points for on-campus dining 

 

Responsibilities:

In this guest-facing role, you will be responsible for the following: 

  • Ensuring each guest is greeted in a pleasant, and courteous manner 
  • Ensuring each reservation, request, or question is addressed in a timely manner
  • Ensuring team is assisted with guest lodging, meals, meetings, and other arrangements to help ensure guests needs are met
  • Responsible for managing and delivering UP ID Cards for all guests while maintaining excellent records
  • Assisting in preparing billing and invoicing for conference participants
  • Attending all necessary team meetings
  • Available to work in an “on call” basis as requested
  • Other duties as assigned 

 

Requirements:

  • Current UP Student in good academic standing, able to provide verification of Fall 2022 enrollment  
  • Must be available to work each of the aforementioned dates 
  • Must be able to stoop, bend, lift up to 30 lbs., climb and descend stairs unassisted 
  • Must be able to sit / utilize a computer for extended periods of time 
  • Must maintain a good working relationship with all internal and external contacts
  • Must maintain a professional presence at all times, including behavior and attire
  • Must possess a valid driver’s license and successfully complete the UP HR driver’s safety training
