Duties and Responsibilities

  • Responsible for coordinating the Pilot Express rider program from campus to the airport, train station, Greyhound bus Station, and the Bolt bus loading station on breaks, including Fall Break, Thanksgiving, Christmas, Spring Break, and Easter (this service does NOT run during Fall move-in or Spring move-out time frames)
  • Ensure that shuttle vans run between campus and various transportation locations are scheduled at times to meet student needs
  • Reserve or rent minivans as needed
  • Hire qualified drivers for the shuttle program
  • Orient and train staff as official University of Portland drivers with the Office of Campus Safety
  • Advertise the dates and times that Pilot Express will be operating to ensure a high level of use and participation at least one week prior to the sign-up period (which is approximately two weeks before the first run)
  • Create and collect one reservation form/contract per student rider requesting service and explaining the Pilot Express procedures and inclement weather policies
  • Create and maintain a master schedule for each break including a list of drivers and riders, submitting copies to the Vice President of ASUP, Pilot Express Advisor, and Campus Safety at least 24 hours before the first run
  • Respond to requests for schedule adjustments as necessary
  • Carry an on-call phone during Pilot Express hours of operation
  • Report all emergencies, accidents, and problems to the Pilot Express Advisor or Student Activities staff member on-call, Campus Safety, and the ASUP Vice President
  • Coordinate with student club and organization leadership regarding usage of ASUP vans when not in use by Pilot Express

 

General Qualifications and Requirements

  • Required: Excellent customer service skills, particularly can reduce anxiety or stress when adjustments need to be made to schedules
  • Required: Knowledge of Microsoft Excel and Word as a planning and administrative tool
  • Preferred: Organizational and time skills 
  • Preferred: Strong written and verbal communication 
  • Preferred: Ingenuity to continually adapt the service alongside current culture’s needs

 

Time Commitment and Required Availability

  • Must be available to serve during the times when Pilot Express is in operation, which is usually the beginnings and endings of academic breaks
