Open Enrollment

A mid-year Open Enrollment is being offered July 15, 2020 through July 24, 2020. This will allow benefited employees to make changes to medical and dental plan elections and medical and childcare flexible spending accounts due to the impact of the Covid-19 pandemic. These changes will go into effect August 1, 2020.

Below are the forms to submit for requesting changes. No action is needed if changes are not being requested.

Please review important information on FSA form for IRS guidelines regarding mid-year elections.

Forms submitted past the July 24, 2020 date can not be accepted unless a qualifying life event has occurred that allows a special enrollment period.

Please email or contact the HR offices at 503-943-8484 with any questions regarding this mid-year Open Enrollment or other qualifying life events which allow you to request changes.

Please note: The standard annual open enrollment will occur in November 2020 with changes going into effect January 1, 2021.

When is mid-year open enrollment? 7:00am on July 15, 2020, through 11:59 pm on Friday, July 24, 2020

What is mid-year open enrollment? This is a special offering to allow an open enrollment period of time when you can make changes to healthcare plans and flexible spending accounts due to the impact of the Covid-19 pandemic. Unlike the standard annual open enrollment, if you do not need to make a change, no action is needed.

What happens if I miss the open enrollment deadline of 11:59pm on July 24, 2020? If you miss the deadline, you will not be able to sign up for or make changes to benefits until open enrollment occurs next November 2020 for coverage effective January 1, 2021. If you experience a situation that is considered a life event for benefits purposes, you may be offered a special enrollment period.

Is there a grace period or can exceptions be made to the mid-year open enrollment deadline of 11:59pm on July 24, 2020? Because of compliance requirements, there is no grace period and we cannot provide exceptions to the deadline.

What benefits are part of mid-year open enrollment? Medical and dental insurance (including Share the Savings benefits) and flexible spending account benefits. You can find links to the change request forms for these benefit offerings above.

Do I need to do anything if I have no changes? No action is needed if you are not requesting a change for the mid-year open enrollment.

Where can I find Health Plan Summaries? Health Plan documents are posted in the Benefits pages in Pilots. There are no changes to the healthcare plans at this time. The IRS has made changes to the flexible spending accounts so please review the Flexible Spending Accounts page in Pilots.

If I need help or have questions, what should I do? You can email or call 503-943-8484 and leave a voicemail message and the benefits team will reply back.
