Supervising Students

Community organizations and site supervisors are responsible for supervising student workers. Upon hire, students should be introduced to the community organization and staff members, receive a thorough orientation, and be trained appropriately for their new position. Supervisors should plan to meet one-on-one with students at least once per month, as well as be available on a daily basis for questions and concerns.

Time Sheets and Paying Wages

Twice a month, supervisors will be asked to sign a student time sheet. Time sheets are provided by the University of Portland and are due according to the payroll calendar. Students are responsible for recording hours accurately and turning time sheets in on time.  Students will be paid twice a month by the University. 

Supervisors are responsible for working with their student workers to track the number of hours worked and the amount of monies earned, so as to not go over the allotted federal work study funds.  Students will not be paid for any work done after they have reached their full federal work study allotment. 

Concerns

Community Service Work Study (CSWS) partners can hire their student workers on a “hire and termination at will” policy. We encourage ongoing communication with the Moreau Center throughout the year in relation to CSWS students. If there is a problem, including prolonged absences, tardiness, or changes in personality, the Moreau Center is willing to mediate any situation between the student and the partner organization. Supervisors should report any concerns regarding their student worker immediately to the Moreau Center.

At the same time, the organization has the right to terminate a student at any time throughout the year if they are not performing to standards of communicated expectations. If an organization and student relationship does not work out, it is important to tell the Moreau Center immediately and before termination is requested.

Additionally, no organization is required to hire any student that applies for their open position. Our hope is that a good match will be found, but if not, there is a possibility of placing a new student with the organization, and there could also be a better placement for the student.  

Commitments from Supervisors

  • At will interviewing: The community organization will commit to the right to interview or not interview any CSWS student the Moreau Center offers for consideration.
  • At will hiring: The community organization will commit to the right to hire or not hire any CSWS student the Moreau Center offers for consideration. There is no obligation to hire CSWS students for positions within the organization.
  • At will discipline: The community organization will commit to the right to discipline, fairly, any CSWS student who does not meet the expectations of the offered position.
  • At will termination: The community organization will commit to the right to terminate, fairly, any CSWS student who does not meet the expectations of the offered position. The Moreau Center has the right to have preliminary conversations with community partners prior to termination.
  • Proper and thorough training and supervision: The community organization will commit to thoroughly and properly training and supervising CSWS students in a timely and clear manner.
  • Exit interviews: The community organization will commit to meeting with CSWS students prior to the end of their placement for an exit interview to review their time, talk about future commitments, and tie up any loose ends. Exit interviews should also be conducted for students who are being terminated before their placement ends. Notes from exit interviews should be forwarded to the Moreau Center office for its records.
